Booking and Payment Process
At Hola Africa Ltd, we tailor your travel experience to your preferences. A binding agreement will be established once the following conditions are met:
- Reservations: Must be documented and confirmed via email.
- Deposit: To confirm your booking, you must pay a non-refundable deposit of 30% of the total safari cost.
- Timeline for Deposit: The deposit must be made within seven days of accepting the safari itinerary.
- Balance Payment: The remaining 70% of the safari cost is due 45 days before the safari begins. Failure to meet this deadline may result in cancellation, with the deposit retained as forfeiture.
- Last-Minute Bookings: Full payment is required when booking safaris arranged within 45 days of departure.
- Contractual Agreement: A binding agreement will not be established if these requirements are not fulfilled.
Documentation and Travel Requirements
At Hola Africa Ltd, your seamless journey is our priority. To ensure every detail is perfect, we ask you to review your invoice, tickets, itinerary, and receipts upon receipt. Any discrepancies or missing information must be reported within 7 days of your booking confirmation. Beyond this timeframe, we cannot assume responsibility for inaccuracies unless we cause them, and corrections will be your responsibility.
Once your safari is confirmed, please provide copies of all travellers’ passports, international flight details (arrival and departure), and a valid travel insurance certificate without delay. For added peace of mind, documentation related to health or medical conditions, certified by a physician, may be requested to ensure a safe and enjoyable adventure.
Health, Medical Conditions, and Special Requirements
Your safety and comfort are our top priorities. Before confirming your booking, please inform us of any health concerns, allergies, disabilities, or special requirements within your group to ensure a flawless travel experience. This vital information allows us to tailor arrangements that meet your needs, ensuring a seamless and enjoyable journey.
Failure to disclose such information may hinder our ability to effectively accommodate your requirements, potentially affecting the quality of your experience. Let us prepare every detail with care so you can focus on creating unforgettable memories.
Cancellation and Refund Policy
We understand that unforeseen circumstances may arise, necessitating the cancellation of your holiday. To process such requests, cancellations must be communicated to us formally in writing and will only be valid upon our receipt of written notification.
In the event of cancellation, deposits and amendment-related charges are non-refundable. Cancellation fees are applied as follows:
- Cancellation 120–60 days before departure: 30% of the booking amount forfeited.
- Cancellation 60–45 days before departure: 50% of the booking amount forfeited.
- Cancellation less than 45 days before departure: 100% of the booking amount forfeited.
Refund eligibility may depend on your travel insurance policy. Please contact your insurance provider for details on compensation. However, domestic airline tickets already issued are non-refundable under this policy.
Failure to show up or join the safari after the departure date has passed will result in no refunds.
Pricing Policy and Itinerary Modifications

At Hola Africa Ltd, we strive to provide accurate pricing for your journey based on current expenses at the time of confirmation. However, we reserve the right to adjust and correct any discrepancies prior to finalising your booking and will communicate these adjustments transparently.
In the event of unforeseen external changes beyond our control, such as government-imposed taxes, policy modifications, transportation cost fluctuations, or increased park, reserve, or concession fees, any additional costs will be the client’s responsibility. Factors influencing adjustments may include fuel surcharges, scheduled flight fare changes, or landing and disembarkation fees at ports or airports.
We are dedicated to providing a seamless and unforgettable travel experience. Should pricing adjustments occur, you can trust us to communicate transparently, ensuring your journey continues confidently and excitedly.
Tour Operator’s Rights and Responsibilities
- Right to Cancel or Modify Itineraries Due to Unforeseen Events, Including Force Majeure.
We reserve the right to cancel or adjust your holiday plans if full payment has not been made or in situations beyond our control. Such events, referred to as force majeure, include but are not limited to natural disasters, government actions, or other unpredictable circumstances that could not have been prevented, even with the highest level of diligence by us or our partners.
- Implementation of Necessary Changes
If adjustments are required, we will act swiftly to implement them and ensure all changes are clearly documented and communicated in writing.
- Minor Adjustments to Plans
Occasionally, small changes to your confirmed holiday may be necessary. While these adjustments are usually minor and do not require compensation, we will notify you of such changes in writing prior to your departure.
We will notify you promptly if unforeseen circumstances necessitate a significant alteration to any essential element of your confirmed travel arrangements, including any agreed-upon special requests. In the event of such significant modifications, we will provide you with the following details in writing as soon as possible:
- The specific changes and their effect on the total cost.
- Should you decline the changes, information on alternative travel options, including details of any price reduction if the alternative is of lesser quality or value.
- Your right to cancel the booking and receive a full refund if you reject the proposed changes or any alternative options and
- The timeframe within which you must inform us of your decision and the consequences of failing to do so.
Changing Booking, Client Responsibility, and Conduct
Client Conduct
Travelers must act respectfully and avoid behavior that causes distress, harm, inconvenience, or damage to others or property. If deemed inappropriate by our staff, agents, or suppliers, we reserve the right to terminate the contract without further obligation. This includes covering costs for damages, refunds, or return arrangements.
Liability for Damages
You are responsible for any damage or loss caused by your actions and must settle payments directly with the affected party. If costs exceed estimates, you must pay the difference; the balance will be refunded if lower. Failure to comply may result in legal claims, including liability for incurred expenses.
Travel Requirements
You must ensure your passport, visa, and health documents meet destination requirements. Any penalties, fines, or costs resulting from noncompliance will be at your expense, including reimbursement for costs incurred by us.
Accuracy of Information
The name on your airline ticket must match your passport exactly. To ensure the accuracy of services, any discrepancies must be reported promptly using the booking or Guest Information Form.
Acknowledgement of Risks
By booking with us, you accept the inherent risks of travel, particularly in remote or developing regions. These risks include health, infrastructure, and environmental challenges. We are available to provide advice or assistance on request.
Carriers and Transportation
Transportation by air and sea is governed by the terms and conditions of the respective carriers and international conventions. Hola Africa Ltd is not responsible for cancellations, schedule changes, strikes, diversions, technical issues, or any operational decisions the carrier makes.
We accept no liability for lost or misplaced luggage, rescheduling costs, missed accommodations, or delays caused by the carrier. Additionally, Hola Africa Ltd cannot be held liable for any death, injury, or illness arising from travel by air or sea, as these risks fall under the carrier’s jurisdiction and applicable conventions.
Insurance
We highly encourage all clients to secure comprehensive travel insurance as a crucial step in preparing for their journey. This insurance provides vital protection against unexpected events that could disrupt your travel plans. To ensure adequate coverage, your policy should address, but not be limited to, the following areas:
- Medical Expenses: Coverage for health-related costs, including hospitalisation, treatment, and emergency assistance in the event of illness or injury during your trip.
- Evacuation and Repatriation: Support for emergency medical evacuation to a healthcare facility or repatriation to your home country as deemed necessary by professionals.
- Accidental Death and Disability: Financial compensation for accidental death or permanent disability sustained while travelling.
- Trip Cancellation and Interruption: Coverage for financial losses resulting from trip cancellations or interruptions due to unforeseen circumstances, such as illness, injury, or other emergencies.
- Loss or Damage of Personal Belongings: Protection against the loss, theft, or damage of personal items, including luggage and travel essentials.
Comprehensive travel insurance safeguards your financial investment and ensures peace of mind throughout your journey. It is your responsibility to carefully review your policy’s terms, conditions, and exclusions to confirm that it meets your travel needs.
Hola Africa Ltd mandates that all guests obtain valid travel and medical insurance as a prerequisite for participating in our tours. Your policy must cover medical expenses, emergency evacuation, trip cancellations, and loss or damage of personal belongings. Guests should arrange their insurance before making their booking deposit.
Your insurance policy may allow recovery of certain cancellation charges, subject to specific terms. Travelling without insurance poses significant risks and is strongly discouraged. We advise reading your policy in detail to ensure it covers all aspects of your journey. Be sure to carry your policy with you during your travels.
Wild Animal Caution
Guests are strongly encouraged to follow the safety guidelines and instructions provided by Hola Africa Ltd’s guides and staff without exception. Before participating in any activities that might bring you into proximity to wild animals or their habitats, it is essential to consult your guide. These protocols are carefully designed to prioritise guest safety while enhancing the overall safari experience.
Hola Africa Ltd, including its team members, agents, and affiliates, does not guarantee complete safety against encounters with wild animals or other potential risks associated with the African wilderness. Although such incidents are uncommon, Hola Africa Ltd cannot ensure that they will not occur. As such, Hola Africa Ltd, its employees, agents, and affiliates cannot be held accountable for any injuries, damages, losses, or liabilities (“Incidents”) arising from the inherent unpredictability of wild animals or the unique risks of the natural environment.
Participants acknowledge and accept these risks by taking part in a safari arranged by Hola Africa Ltd. Guests voluntarily release, waive, and hold harmless Hola Africa Ltd, its team members, agents, and affiliates from any claims, liabilities, or damages—including those related to bodily harm, property damage, or loss of services—that may result from their safari participation.
Acknowledgement of Risks and Safety
Hola Africa Ltd and its owners, directors, staff, and employees are not liable for injuries, deaths, or personal property loss or damage during your tour. Safaris and related activities involve inherent risks. You must consult a medical professional to assess your health, medication, and vaccination needs before travel. Hola Africa Ltd is not responsible for any illness, injury, or fatalities on properties it owns or manages.
Waiver of Claim Against Introducer
Clients referred to Hola Africa Ltd by third parties or travel agents agree that the introducer bears no liability for claims arising from our services. All inquiries or concerns must be addressed directly to Hola Africa Ltd, in accordance with these Terms and Conditions.
Problems or Complaints
Should you encounter any issues or concerns during your holiday, please report them immediately to the appropriate contact, such as the camp manager, hotel representative, or safari guide. They will take prompt action to address the situation and improve your experience. If the matter cannot be resolved locally, contact Hola Africa Ltd for further assistance.
If you have concerns regarding your travel arrangements, inform our local representative or service provider immediately. Addressing matters on-site ensures the quickest resolution. Please note that issues not reported when they occur may not be addressed later.
Travelling in developing regions often requires flexibility and understanding. If a challenge cannot be resolved on-site, contact Hola Africa Ltd through our 24-hour emergency support listed in your travel documents. If the matter remains unresolved, submit a detailed written complaint to us within 28 days of your return for review. Adherence to this process ensures a thorough resolution, as failure to do so may affect your eligibility for compensation, except in cases involving personal injury, illness, or accidents.
Baggage
Clients are fully responsible for their luggage and personal items at all times. Hola Africa Ltd assumes no liability for any loss or damage to personal belongings under any circumstances. Each client is permitted one bag, weighing no more than 15 kg, which must be either a backpack or soft bag (hard-shell suitcases are not allowed), along with a daypack. Hola Africa Ltd reserves the right to refuse baggage exceeding these weight or size limits. Specific baggage regulations may apply for trekking tours and “bush” flights.
Authority During Tours
The decisions made by Hola Africa Ltd’s guides or drivers throughout the tour are final and must be respected. Guests are expected to comply with the laws, customs, and foreign exchange regulations of each destination visited during their journey.
Price Changes
Please note that all pricing is based on prevailing national park fees and taxes at the time of booking. Any adjustments to these rates will be reflected in your charges accordingly.
Access
Please note that Hola Africa Ltd cannot be held liable for disruptions caused by road or airstrip conditions that may render travel temporarily impossible. Any changes to the original itinerary will comply with the previously outlined terms and rates, irrespective of access or weather-related difficulties.
Force Majeure
“Force majeure” refers to any extraordinary event or circumstance beyond Hola Africa Ltd.’s control that prevents the fulfilment of its obligations. These events may include, but are not limited to, natural disasters (acts of God, floods, storms, fires), explosions, wars, threats of war, sabotage, insurrections, civil disturbances, governmental actions, pandemics, quarantines, or other unforeseen and unavoidable incidents.
In the event of a force majeure, Hola Africa Ltd will promptly notify you of the situation and its impact on the agreed arrangements. Under these circumstances, Hola Africa Ltd shall not be deemed in breach of contract nor held liable for delays, interruptions, or non-performance caused by these events.
Hola Africa Ltd reserves the right, at its sole discretion, to modify or cancel bookings or arrangements affected by force majeure. While the company will endeavour to provide refunds where feasible, it retains the right to deduct reasonable costs incurred due to the force majeure event.
